The Quartermaster’s role
The Quartermaster maintains the financial records and handles funds under the authority of the VFW’s governing documents and properly approved actions. The Trustees independently review those records; they do not replace the Quartermaster’s day-to-day work.
Post officer focus: The checklist below is a practical starting point for Post Quartermasters. District officers should follow Section 418 of the current Manual of Procedure and Department instructions.
- Record receipts and authorized payments accurately, with supporting documents.
- Process membership dues and keep membership-related records current.
- Reconcile bank transactions and explain differences promptly.
- Keep financial records organized, securely backed up, and available to authorized reviewers.
- Provide Trustees with the complete records needed for their reviews and audits.
- Arrange an orderly transfer of records, funds, and responsibilities to your successor.
Build an audit-ready routine
Keep the records together
Maintain an organized file of bank statements and reconciliations, ledgers, receipts, vouchers, approved meeting minutes, prior audits, and records for Post-operated activities such as the canteen, bingo, and fundraising.
Coordinate before the quarter closes
Agree on an audit date with the Trustees, confirm access to all accounts and activity records, and resolve missing documentation early. Use the prescribed report and current National and Department instructions.
Track obligations without guessing
Review bonding, required reports, and applicable filing responsibilities with Department leadership and your qualified tax or accounting adviser. Requirements vary; this page does not determine your Post’s tax status or filing obligations.
Forms, training, and reference material
Current Department bonding information, questionnaires, and contact details are maintained on the Bonds page. Confirm the applicable coverage and instructions before submitting.
Sign in at VFW.org, then go to Member/Post Resources → VFW Training & Support. Look for current Quartermaster training, financial tools, and the current Podium Edition. Member login may be required.
National VFW audit form hosted by the VFW Department of Colorado. Confirm that it is the version accepted by the Department of Arizona before submitting.
Working together
Quartermasters prepare and maintain the records. Trustees review them independently. Commanders and members provide the approvals and oversight required by VFW rules. Clear roles, complete documentation, and timely communication protect the Post.
